When this is shown: to a parent/guardian, in an authenticated session, as a separate step from the Terms, Privacy Policy, and general Parental Consent, at invite-acceptance for a managed child under 16. For independent players aged 16–17, this release is also presented to and must be granted by a parent or legal guardian — a minor's self-consent is not accepted for film in v1. Adult players (18+) grant it for themselves.
1. What you are being asked to allow — and why it is required
KOVA's film features let academies record short video clips of players during training and matches and use them for coaching and player development. Film-based coaching is a core function of the Service, so this release is a condition of your child's participation: if you do not grant it, your child cannot be enrolled. We still present it as its own separate, clearly-labeled step — rather than burying it in the general consent — so that you know exactly what you are permitting, and so that your grant and any later withdrawal are individually recorded.
2. Scope of the permission
If you consent, you allow KOVA and your child's academy to:
- Record video that includes your child during academy training sessions and matches;
- Store those clips securely (in KOVA's file storage) as part of the academy's workspace;
- Annotate and comment on clips (including drawing, text, and voice comments) for coaching;
- Analyze clips using automated/AI tools to support development (for example, movement and play analysis); and
- Share clips within the academy's authorized audience only — the academy's permitted coaching staff, the player/managed account, and the linked parent(s) — as controlled by the academy's roles and permissions.
Hard sharing boundary. Clips of minors are never shared outside the authorized in-academy audience — not for promotion, marketing, showcases, scouting, or social media — under this release. No such external use exists in v1 of the Service. If KOVA ever offers an external-sharing feature, it will require a separate, additional, clearly-labeled consent; this release will never be construed to permit it.
3. What this is not
This release is for coaching and development within the academy. It is not a general publicity or marketing release, and it does not permit public posting or commercial use of your child's image or any use of your child's name, image, or likeness for endorsement or promotion.
4. Automated analysis
Clips may be processed by automated tools, including AI, to generate development insights (for example, movement, positioning, and play analysis). This analysis is for coaching purposes only and is subject to the Privacy Policy. Footage of your child is not used to train KOVA's or any third party's AI models; KOVA's agreements with its providers prohibit it, and only de-identified, aggregated data that cannot identify your child may be used to improve the Service, as described in the Privacy Policy.
5. Retention and deletion
Clips that include your child are retained for the duration of your child's participation in the Service, unless you request deletion sooner. Clips are deleted within 30 days of your deletion request or withdrawal of this release, and in any event within 90 days after your child's participation or the academy's use of the Service ends, subject to legal holds. You may request deletion of your child's clips at any time via the Parent Portal or legal@kova8.com, and KOVA will confirm completion.
6. Withdrawal
You may withdraw this release at any time in the Parent Portal (Manage Child → Privacy & Consents) or by emailing legal@kova8.com. On withdrawal: (a) the academy is notified and no new clips of your child may be recorded or uploaded; (b) existing clips that include your child are deleted within 30 days; and (c) because film is a condition of participation, withdrawal ends your child's enrollment in the Service unless you and the academy arrange otherwise — the academy will contact you about next steps. Withdrawal does not affect the lawfulness of processing that occurred before it.
7. Your confirmations
By consenting, you confirm that you are the parent/legal guardian of the named child, are at least 18, and have authority to grant this release; and that your consent is knowing and voluntary and may be withdrawn as described in §6.

This box is unchecked by default and must be affirmatively checked by you; it is never pre-checked and cannot be checked by the academy on your behalf.
8. Records and versioning
KOVA records which version of this release you accepted, for which child, and when, retained as an audit trail for 5 years after the related account closes. If this release materially changes, KOVA will notify you and ask you to review and accept the new version before continued filming of your child; prior records are retained as history.
